Intent: Deploy and maintain Nextcloud team file sharing
For: team-owner, administrator

## Requirements and responsibilities

- Use a compatible Docker + NGINX server and the xCloud dashboard One-Click Apps flow for Nextcloud. The v4.4.2 capability review found that catalog listing does not make MCP installation available for this app. Sources: [Set up Nextcloud with One Click on xCloud](https://xcloud.host/docs/how-to-set-up-nextcloud-with-one-click/); [xCloud agent capability boundaries](https://github.com/xCloudDev/xcloud-agent-skills/blob/main/plugins/xcloud/reference/capability-map.md)
- Before importing files, decide groups, users, external/public sharing, resharing and expiration rules. Nextcloud’s application administrator controls the Sharing policy; xCloud hosting does not grant file-level permissions. Sources: [Nextcloud file sharing administration](https://docs.nextcloud.com/server/stable/admin_manual/configuration_files/file_sharing_configuration.html); [xCloud agent capability boundaries](https://github.com/xCloudDev/xcloud-agent-skills/blob/main/plugins/xcloud/reference/capability-map.md)
- A complete Nextcloud recovery needs consistent configuration, data and database; confirm what the chosen Docker backup captures and rehearse restoring a representative file before relying on it. ## Illustrative situation

Illustrative scenario: an agency wants a shared project folder for staff and a restricted link for one external reviewer. The owner needs to verify that staff can edit, the reviewer can only view the intended file, and a revoked link stops working.

## Choose the approach

- Start with named users and groups. Permit public links only where the team needs them, with explicit expiration and password/access decisions appropriate to the content. Test permissions as the recipient, not as the administrator. Sources: [Nextcloud file sharing administration](https://docs.nextcloud.com/server/stable/admin_manual/configuration_files/file_sharing_configuration.html)
- Separate xCloud container availability from Nextcloud data integrity. A login page can load even when a file, share permission or sync client is broken. ## Dashboard and application procedure

### 1. Choose server and sharing policy

**Where:** xCloud server view and Nextcloud policy worksheet

**Permissions:** Authorized owner or administrator for the named team, site and application.

**Inputs:** Named team, Docker + NGINX server, storage/capacity, domain, users, groups and external-sharing requirement.

**Action:** Confirm server compatibility and current template fields. Define who may create users and public links and how access is removed when a project ends.

**Expected result:** An approved deployment and least-privilege sharing plan.

**Verify:** Review stack, capacity and domain with the owner; identify data sensitivity and retention before installation.

**If it fails:** If ownership or external access policy is undecided, postpone importing real files.

Capability: Confirm requirements and inspect resources

### 2. Install Nextcloud through One-Click Apps

**Where:** Add site → One-Click Apps → Nextcloud

**Permissions:** Authorized owner or administrator for the named team, site and application.

**Inputs:** Approved server, domain, site and application-admin inputs from the current dashboard form.

**Action:** Install Nextcloud in the dashboard, wait for completion, secure the administrator account and verify the HTTPS address. Record where the site and credentials are held without placing passwords in the report.

**Expected result:** An accessible Nextcloud instance at the intended address.

**Verify:** Sign in from a fresh session and compare URL, certificate and site identity.

**If it fails:** If installation fails, inspect the reported phase and server capacity; do not retry through unsupported MCP install.

Capability: Install n8n or Nextcloud in the dashboard

### 3. Create users, groups and sharing controls

**Where:** Nextcloud Administration → Users and Sharing

**Permissions:** Authorized owner or administrator for the named team, site and application.

**Inputs:** Approved roster, groups, public-link, resharing and expiration policy.

**Action:** Create the required accounts/groups and configure sharing restrictions in Nextcloud. Give the external reviewer only the approved access and set an expiry/revocation process.

**Expected result:** Roles and share settings reflect the agreed team policy.

**Verify:** Sign in as an ordinary member and external recipient; confirm prohibited users cannot open the project data.

**If it fails:** If a recipient sees more than intended, revoke the share first and correct group or policy settings before proceeding.

Capability: Configure and test application behavior

### 4. Test file and share journeys

**Where:** Nextcloud web interface and, if used, sync client

**Permissions:** Authorized owner or administrator for the named team, site and application.

**Inputs:** Representative small file, two members, external recipient and revocation test.

**Action:** Upload and edit a test file, share it with the intended group, test recipient access, then revoke the external link. If a sync client is in scope, verify upload and conflict handling on two devices.

**Expected result:** The team can collaborate while revoked or unauthorized access fails.

**Verify:** Check file content/version, member permissions, recipient view and link revocation in separate sessions.

**If it fails:** If sync or permissions fail, stop importing sensitive files and diagnose Nextcloud settings and client state.

Capability: Configure and test application behavior

### 5. Prove backup coverage and handover

**Where:** xCloud Site → Site Backup; Nextcloud backup plan

**Permissions:** Authorized owner or administrator for the named team, site and application.

**Inputs:** Backup ID/destination, config/data/database coverage, restore owner and tolerated data-loss window.

**Action:** Configure or verify Docker backups and document Nextcloud’s config, file and database consistency needs. Rehearse a representative restore in an isolated target if available; record the actual result and next test date.

**Expected result:** A specific recovery plan for files and shares, with measured limits.

**Verify:** Confirm backup completion, storage accessibility and restored file plus sharing behavior; do not infer integrity from job success alone.

**If it fails:** If a backup omits required data or rehearsal fails, keep a separate complete backup plan and resolve the gap before relying on service.

Capability: Create and inspect Docker backups

## Maintenance

- Review inactive accounts, external links, group memberships, storage use, backup completion and failed sync reports on a schedule. Test access after Nextcloud updates. Sources: [Nextcloud file sharing administration](https://docs.nextcloud.com/server/stable/admin_manual/configuration_files/file_sharing_configuration.html); [Nextcloud backup requirements](https://docs.nextcloud.com/server/stable/admin_manual/maintenance/backup.html)
- Keep a current owner for domain, application administration, storage and restore decisions. Remove access promptly when staff or external projects end. Sources: [Nextcloud file sharing administration](https://docs.nextcloud.com/server/stable/admin_manual/configuration_files/file_sharing_configuration.html)

## Recovery decisions

- For accidental exposure, revoke the share and affected credentials first, then inspect who had access and whether files were downloaded; restore does not undo disclosure. Sources: [Nextcloud file sharing administration](https://docs.nextcloud.com/server/stable/admin_manual/configuration_files/file_sharing_configuration.html)
- For file loss or corruption, preserve current data, identify the last consistent config/data/database backup and reconcile changes since it. Perform Docker restore in the dashboard only after approving target and data-loss window. ## AI handoff

Connect xCloud MCP in an agent client and select the intended team. Discover the current tools, schemas and scopes. Use reads for inventory; present exact site, server, domain, cost, interruption and data impact before each approved write. Use returned dashboard\_url values for manual work. The packaged REST fallback accepts GET requests only; never use it for writes.

### Supported scope

- **Confirm requirements and inspect resources** (mcp; read): Discover the connected profile and operation schema first; only teams granted to the connection are visible. Checkpoint: Confirm exact team, server and site identity. Use dashboard\_url returned by the resource; do not invent a dashboard link. Operation identifiers to discover: teams.index, servers.show, sites.show. Scopes: read:servers, read:sites. Sources: [xCloud MCP documentation and connection profiles](https://app.xcloud.host/mcp/docs); [xCloud agent capability boundaries](https://github.com/xCloudDev/xcloud-agent-skills/blob/main/plugins/xcloud/reference/capability-map.md)
- **Install n8n or Nextcloud in the dashboard** (dashboard; manual): The v4.4.2 capability review found n8n and Nextcloud listed in the catalog but unavailable to oneclickApps.install; use Add site → One-Click Apps. Checkpoint: Confirm compatible Docker + NGINX server, app, resources, domain and install inputs before dashboard creation. Sources: [xCloud agent capability boundaries](https://github.com/xCloudDev/xcloud-agent-skills/blob/main/plugins/xcloud/reference/capability-map.md); [Deploy n8n through xCloud One-Click Apps](https://xcloud.host/docs/deploy-n8n-with-xcloud-with-one-click-apps/); [Set up Nextcloud with One Click on xCloud](https://xcloud.host/docs/how-to-set-up-nextcloud-with-one-click/)
- **Configure and test application behavior** (app; manual): xCloud hosting operations do not configure WooCommerce checkout, n8n workflows, Nextcloud sharing policy or application users. Checkpoint: An application administrator verifies each real business journey and records observed outcomes. Sources: [WooCommerce testing orders](https://woocommerce.com/document/managing-orders/testing-orders/); [n8n Webhook node and test/production URLs](https://docs.n8n.io/integrations/builtin/core-nodes/n8n-nodes-base.webhook/); [Nextcloud file sharing administration](https://docs.nextcloud.com/server/stable/admin_manual/configuration_files/file_sharing_configuration.html); [xCloud agent capability boundaries](https://github.com/xCloudDev/xcloud-agent-skills/blob/main/plugins/xcloud/reference/capability-map.md)
- **Create and inspect Docker backups** (mcp; write): Backup capture briefly stops the app. Use supported local, S3-compatible or SFTP storage; the packaged REST wrapper is GET-only. Checkpoint: Confirm site, storage, retention and the interruption window before creating a backup or changing settings. Check terminal completion. Operation identifiers to discover: sites.docker.backup, sites.docker.backups, sites.docker.backupSettings.update. Scopes: read:sites, write:sites. Sources: [Docker backup operations and storage constraints](https://github.com/xCloudDev/xcloud-agent-skills/blob/main/plugins/xcloud/skills/sites/reference/docker-backups.md); [Back up and restore Docker apps](https://xcloud.host/docs/backup-and-restore-docker-apps/)
- **Restore a backup** (dashboard; manual): Native and Docker restore operations are dashboard-only. An in-place Docker restore replaces current data. Checkpoint: Use Site → Site Backup → Previous Backups → Restore Backup (or Restore to Another Site where offered). Confirm exact target and recovery point before proceeding. Sources: [xCloud agent capability boundaries](https://github.com/xCloudDev/xcloud-agent-skills/blob/main/plugins/xcloud/reference/capability-map.md); [Back up and restore Docker apps](https://xcloud.host/docs/backup-and-restore-docker-apps/)

### Copyable agent brief

```text
For my named xCloud team and Docker + NGINX server, use connected MCP reads to confirm exact resources, capacity and existing site status. Give me the dashboard path and current form questions for Nextcloud One-Click Apps installation; do not call oneclickApps.install because Nextcloud is dashboard-only in the v4.4.2 review. Draft a user/group and external-sharing acceptance plan, including expiry and revocation. Nextcloud users, file permissions and policy must be configured in the app by its administrator. Read available Docker backup status and identify gaps against config, data and database recovery; do not assert recoverability until an isolated restore is tested. Any approved Docker backup requires the discovered MCP write tool and a warning about brief interruption. The packaged REST fallback accepts GET requests only.
```
