Deploy Nextcloud for team file sharing

Install Nextcloud through the xCloud dashboard, set a group sharing policy, verify access and plan consistent file and database recovery.

Requirements and responsibilities

Illustrative situation

Illustrative scenario: an agency wants a shared project folder for staff and a restricted link for one external reviewer. The owner needs to verify that staff can edit, the reviewer can only view the intended file, and a revoked link stops working.

Choose the approach

Dashboard and application procedure

Follow these steps yourself, or use the scoped AI handoff below for supported hosting operations.

Step 1 of 5

Choose server and sharing policy

Where
xCloud server view and Nextcloud policy worksheet
Permissions
Authorized owner or administrator for the named team, site and application.
Inputs
Named team, Docker + NGINX server, storage/capacity, domain, users, groups and external-sharing requirement.
Action
Confirm server compatibility and current template fields. Define who may create users and public links and how access is removed when a project ends.
Expected result
An approved deployment and least-privilege sharing plan.
Verify
Review stack, capacity and domain with the owner; identify data sensitivity and retention before installation.
If it fails
If ownership or external access policy is undecided, postpone importing real files.

Step 2 of 5

Install Nextcloud through One-Click Apps

Where
Add site → One-Click Apps → Nextcloud
Permissions
Authorized owner or administrator for the named team, site and application.
Inputs
Approved server, domain, site and application-admin inputs from the current dashboard form.
Action
Install Nextcloud in the dashboard, wait for completion, secure the administrator account and verify the HTTPS address. Record where the site and credentials are held without placing passwords in the report.
Expected result
An accessible Nextcloud instance at the intended address.
Verify
Sign in from a fresh session and compare URL, certificate and site identity.
If it fails
If installation fails, inspect the reported phase and server capacity; do not retry through unsupported MCP install.

Step 3 of 5

Create users, groups and sharing controls

Where
Nextcloud Administration → Users and Sharing
Permissions
Authorized owner or administrator for the named team, site and application.
Inputs
Approved roster, groups, public-link, resharing and expiration policy.
Action
Create the required accounts/groups and configure sharing restrictions in Nextcloud. Give the external reviewer only the approved access and set an expiry/revocation process.
Expected result
Roles and share settings reflect the agreed team policy.
Verify
Sign in as an ordinary member and external recipient; confirm prohibited users cannot open the project data.
If it fails
If a recipient sees more than intended, revoke the share first and correct group or policy settings before proceeding.

Step 4 of 5

Test file and share journeys

Where
Nextcloud web interface and, if used, sync client
Permissions
Authorized owner or administrator for the named team, site and application.
Inputs
Representative small file, two members, external recipient and revocation test.
Action
Upload and edit a test file, share it with the intended group, test recipient access, then revoke the external link. If a sync client is in scope, verify upload and conflict handling on two devices.
Expected result
The team can collaborate while revoked or unauthorized access fails.
Verify
Check file content/version, member permissions, recipient view and link revocation in separate sessions.
If it fails
If sync or permissions fail, stop importing sensitive files and diagnose Nextcloud settings and client state.

Step 5 of 5

Prove backup coverage and handover

Where
xCloud Site → Site Backup; Nextcloud backup plan
Permissions
Authorized owner or administrator for the named team, site and application.
Inputs
Backup ID/destination, config/data/database coverage, restore owner and tolerated data-loss window.
Action
Configure or verify Docker backups and document Nextcloud’s config, file and database consistency needs. Rehearse a representative restore in an isolated target if available; record the actual result and next test date.
Expected result
A specific recovery plan for files and shares, with measured limits.
Verify
Confirm backup completion, storage accessibility and restored file plus sharing behavior; do not infer integrity from job success alone.
If it fails
If a backup omits required data or rehearsal fails, keep a separate complete backup plan and resolve the gap before relying on service.

Recovery decisions

AI handoff

Connect xCloud MCP in an agent client and select the intended team. Discover the current tools, schemas and scopes. Use reads for inventory; present exact site, server, domain, cost, interruption and data impact before each approved write. Use returned dashboard_url values for manual work. The packaged REST fallback accepts GET requests only; never use it for writes.

Copyable agent brief

Manual checkpoints

  • Install Nextcloud in the xCloud dashboard.
  • Create users, groups and sharing policy in Nextcloud.
  • Test ordinary and external recipient access and revocation.
  • Approve and perform restores in the dashboard.
