What is Nextcloud? It is free, open-source software that turns a server you choose into your own private cloud for files, calendars, contacts, chat and document editing. Think of it as the parts of Google Drive or Dropbox you actually use, running on a machine where you decide who sees what.

That idea sounds simple. However, “Nextcloud” now names a whole suite, and the word Hub in every release name can be confusing. If you already know you want it and just need the install steps, our guide on how to self-host Nextcloud walks through Docker Compose and the one-click route.

This post stays on the bigger question. You will learn what Nextcloud is, what runs inside it, the features that matter and who uses it. Then you will see how it compares to Google Drive, Dropbox and ownCloud and what it takes to host.

TL;DR: Nextcloud in 60 Seconds

Short on time? Here is the whole guide in a few lines:

  • Nextcloud is an open-source private cloud server, licensed under the AGPL, that stores, syncs and shares files on a server you control.
  • Nextcloud Hub is the full suite: Files, Talk (chat and video calls), Groupware (Calendar, Contacts, Mail) and Office (browser editing powered by Collabora Online).
  • The current release, as of November 2026, is Nextcloud Hub 26 Summer (server 35). Point release 35.0.2 shipped on 15 October 2026.
  • It started in 2016 as a fork of ownCloud and now has hundreds of add-on apps in its App Store.
  • It fits teams that want files off third-party drives, agencies sharing with clients and anyone replacing several subscriptions with one server.
  • The catch: you become the administrator. Backups, upgrades and security are yours, or your host’s.

What Is Nextcloud?

Nextcloud is a self-hosted platform for storing your files, contacts and calendars on a server of your choosing, as its own GitHub README puts it. You open it in a browser like any cloud drive. Desktop and mobile clients keep a copy of your files in sync on every device.

Think of Google Drive as a hotel: clean, convenient and run by someone else. Nextcloud is a house you own. You hold the keys and decide who visits, but you also fix the roof.

A Few Things Worth Knowing

  • It is software, not a service. Nextcloud GmbH builds it, but you (or a host) run it.
  • The core is free. There is no paid tier inside the community server. Nextcloud GmbH sells Nextcloud Enterprise separately, with support.
  • It is modular. Start with Files only and add Talk, Office or Groupware when you need them.
  • Upgrades go one major version at a time. You cannot jump from 33 to 35 in one step.

How Nextcloud Works: What Runs Inside It

A plain Nextcloud install has three moving parts. Bigger setups add helper services around them.

  1. The Nextcloud server. A PHP application that serves the web interface, handles sharing and talks to the sync clients.
  2. A database. MariaDB, MySQL or PostgreSQL stores users, shares, file metadata and app data. Your actual files live on disk.
  3. A web server with HTTPS. Apache or NGINX sits in front and serves everything over a secure connection on your domain.

Larger installs add a Redis cache, scheduled background jobs and optional services. The official Nextcloud All-in-One container is a good map of the extras. It bundles Redis and PostgreSQL, plus optional Nextcloud Office, a Talk backend for bigger calls, BorgBackup backups and ClamAV antivirus.

Here is the part that trips people up: Office and large Talk calls each need their own extra service. Installing the app from the App Store is not the whole job. If containers are new to you, our guide on what Docker Compose is explains how these services run side by side.

6 Nextcloud Features That Matter

Nextcloud lists hundreds of apps. These are the six that decide whether it works for you.

1. Nextcloud Files: Sync, Share and Version

Files is the heart of Nextcloud. You upload through the browser or let the desktop client sync a folder, and mobile apps can upload photos from your phone.

Sharing works with people on your server, with groups or through public links. The built-in Versions app keeps older copies of changed files, so you can roll back a bad edit. It never lets versions use more than half of an account’s free space.

2. Nextcloud Talk: Chat and Video Calls

Talk adds text chat plus audio and video calls. Its README lists private, group, public and password-protected calls, screen sharing and chats with users on other Nextcloud servers.

Small calls run on the base install. Larger meetings need Talk’s separate high-performance backend.

3. Nextcloud Office: Edit Documents in the Browser

Nextcloud Office is powered by Collabora Online. Several people can edit a document, spreadsheet or presentation at the same time, with comments and replies.

It opens DOCX, XLSX and PPTX files as well as OpenDocument formats. The catch worth knowing: it needs a Collabora Online service running next to Nextcloud. Nextcloud All-in-One also lists Euro-Office as an optional second office engine.

4. Groupware: Calendar, Contacts and Mail

Groupware covers the Outlook-style tools. Calendar handles attendees, free/busy views, reminders and appointment booking links. It can also create a Talk room for a meeting in one click.

Contacts keeps a shared address book, and Mail is a web client for your existing email account. Phones and desktop calendar apps can sync with them, so your schedule follows you.

5. Apps From the App Store

The App Store is where Nextcloud stops being “just a drive.” Deck adds kanban boards for project planning, and there are apps for notes, forms, tasks, whiteboards and more.

Every app runs on your own server, so each extra app is also one more thing to update.

6. Security and Access Control

Nextcloud ships two-factor login, encryption options and a public bug bounty program on HackerOne. Admins control users, groups, storage quotas and which apps each group can see.

Because you host it, you also decide who can reach the login page at all. Our web hosting security best practices cover the server side of that job.

Who Uses Nextcloud? Real Use Cases

Small Teams Leaving a Shared Drive

Teams that want one place for shared files on a server they pay for. Nextcloud private cloud storage keeps documents in one system instead of personal drive accounts.

Agencies Sharing Files With Clients

Agencies give each client access to just the folders they need and remove it when the project ends. The files stay on the agency’s server the whole time.

Families and Home Labs

Families use Nextcloud for phone photo backup, shared calendars and a common address book.

Organizations With Data Rules

Schools, public bodies and companies with strict data rules pick Nextcloud because they choose where the server sits.

Teams Replacing Several Subscriptions

Files, chat, calendars and document editing can all run on one Nextcloud server. For a cost-conscious team, that is fewer logins and fewer monthly bills.

Nextcloud vs Google Drive vs Dropbox vs ownCloud

All four store and share files. They differ on who runs them and how much you get out of the box.

Nextcloud Google Drive Dropbox ownCloud
Who runs it You or your host Google Dropbox You or your host
Software cost Free (AGPL) Free tier, then paid plans Free tier, then paid plans Free community editions
Where data lives A server you choose Google’s data centers Dropbox’s data centers A server you choose
Office editing Nextcloud Office (extra service) Google Docs, built in Through integrations Through integrations
Chat and calls Talk app Google Chat and Meet (Workspace) Not the focus Not the focus
Setup effort Server, domain and upkeep Sign up Sign up Server, domain and upkeep
Best for Full control plus a suite Ease and Google Docs Simple, reliable sync Lean self-hosted file sync

Google Drive and Dropbox have earned their place. Sign-up takes a minute and nobody on your team patches a server. If that matters most, they are fine choices.

ownCloud is Nextcloud’s ancestor. ownCloud’s founder, Frank Karlitschek, left the company and announced Nextcloud as a fork in June 2016.

Since then ownCloud has built ownCloud Infinite Scale, a rewrite in Go under the Apache-2.0 license, and the company joined Kiteworks in November 2023. ownCloud is a solid pick if you want file sync without a full suite. xCloud has a one-click ownCloud hosting option too.

Rule of thumb: pick Google Drive or Dropbox for zero upkeep, ownCloud or Seafile for lean file sync and Nextcloud when you want files, chat, calendars and office editing on one server you control.

What You Need to Self-Host Nextcloud

For version 35, Nextcloud’s system requirements list a 64-bit Linux server, PHP 8.3 to 8.5 and a supported database. Memory needs vary a lot with users, apps and files. The floor is 128 MB per PHP process, with 512 MB per process recommended.

In practice, disk space and whether you run Office or Talk matter more. Each adds a service, and services add memory.

Ways to Run It

  • Docker or All-in-One on a VPS. The nextcloud image on Docker Hub has passed a billion pulls. It is flexible, but you wire up the proxy, certificate and backups.
  • Manual install. PHP, a database and a web server by hand. Full control and the most upkeep.
  • A managed one-click app. A platform sets up the containers, domain and SSL certificate, and you use Nextcloud.

The trade-off is the usual one: your time is the hidden cost. A raw VPS is cheapest on paper, but every expired certificate and failed upgrade at 3 a.m. lands on you. Our guide to self-managed vs managed hosting goes deeper on that choice.

Nextcloud Pros and Cons

Pros Cons
✅ Free and open source under the AGPL ❌ You or your host must handle upgrades and backups
✅ Your files stay on a server you choose ❌ Major upgrades must go one version at a time
✅ Files, Talk, Office and Groupware in one suite ❌ Office and large Talk calls need extra services
✅ Desktop and mobile clients on every major platform ❌ More apps mean more memory and more to update
✅ Hundreds of App Store apps ❌ Less hands-off than a hosted drive you just sign up for
✅ Two-factor login and fine access control ❌ A public login page needs care to stay safe

Launch Your Own Nextcloud on xCloud

If you want Nextcloud without assembling the stack, xCloud Nextcloud hosting deploys it from One Click Apps. The application and its database run in containers, your domain is mapped and a free SSL certificate is issued for you.

Here is the flow from xCloud’s setup guide:

  1. Create an NGINX server. Click New Server and pick an xCloud managed server or connect your own provider. Keep the NGINX stack selected. Nextcloud on xCloud needs an NGINX server.
  2. Choose Nextcloud. Click New Site, pick your server, open One Click Apps and select NextCloud.
  3. Pick Go Live or Demo Site. Go Live creates a live site on your domain, while Demo Site gives you a temporary subdomain for testing.
  4. Enter your details. Set the domain, Admin Username, Admin Password and Admin Email Address, then the Database Name, Database Username and Database Password.
  5. Open it. Click Visit Site and sign in with your admin account. Change settings later from the Environment editor.

The Nextcloud page quotes a Cloud VPS with 6 GB RAM, 4 vCPU cores and 100 GB NVMe SSD at $24.99 per month, with larger sizes available. If you already have a VPS, you can connect it for a per-server management fee instead. Compare sizes on the pricing page.

Be clear about what stays with you: xCloud does not upgrade Nextcloud on a schedule, so plan major upgrades yourself. Take a backup first with the Docker app backup guide. If only your team needs access, you can restrict Nextcloud to a WireGuard VPN behind Cloudflare.

Decide Where Your Files Should Live This Week

Nextcloud is not a better Google Drive for everyone. It is a different deal: you trade a little upkeep for full control over where your files live and which tools sit around them.

This week, list what your team uses today: shared folders, calendars, chat, document editing. If two or more of those could move to one server you control, Nextcloud is worth a trial. Start with Files only, invite a few people and add apps once the basics feel solid.

Whichever direction you go, decide the backup plan before you move the first folder. For the hands-on install, read our self-hosted Nextcloud guide.

Frequently asked questions

What is Nextcloud used for?

Nextcloud is used to store, sync and share files on a server you choose. Teams also add Calendar, Contacts, Mail, Talk and Office so one server covers files, scheduling, chat and document editing. It is a common replacement for a shared Google Drive or Dropbox account.

Is Nextcloud free?

Yes, Nextcloud server is open source under the AGPL, so the software costs nothing to download and run. You still pay for the server and storage it runs on. Nextcloud GmbH also sells Nextcloud Enterprise with support for organizations that need it.

What is the difference between Nextcloud and ownCloud?

Nextcloud started in 2016 as a fork of ownCloud, led by ownCloud’s founder. Since then Nextcloud has grown into a full suite with Talk, Office and Groupware. ownCloud now offers ownCloud Classic in PHP and ownCloud Infinite Scale, a rewrite in Go. It has been part of Kiteworks since 2023.

What is Nextcloud Hub?

Nextcloud Hub is the name of the full Nextcloud suite: Files, Talk, Groupware, Office and the apps around them. Each release carries a Hub name. The current one, Nextcloud Hub 26 Summer, is server version 35 and arrived in September 2026.

Can Nextcloud replace Google Drive?

For file storage, sync and sharing, yes. Desktop clients for Windows, macOS and Linux and apps for Android and iOS keep files in step across devices. The trade-off is that you run the server, so backups, upgrades and security are your job or your host’s.

Does Nextcloud include an office suite?

Nextcloud Office is available as an app, powered by Collabora Online. It edits documents, spreadsheets and presentations in the browser with several people at once. It needs a separate Collabora Online service next to Nextcloud, so it is not ready the moment Nextcloud is.

I only need shared folders for a team of five. Is Nextcloud overkill?

Not really. You can run Nextcloud with Files alone and add Talk or Office later, if ever. A small team fits on a modest server, and xCloud’s one-click app sets up the domain and SSL certificate for you, so the setup cost stays low.
