What is Mayan EDMS?

Self-hosted Mayan EDMS is an open-source document management system for storing, versioning, classifying, searching and automating document workflows. You create document types, add metadata, upload files such as PDFs and find them again through search. It is GPL-2.0 licensed, and its repository lives on GitLab. Documents are described by type and metadata, so a search can find a file by what it is, not only by its name.

On xCloud the template runs mayanedms/mayanedms s4.12, which is Mayan EDMS 4.12.1, with PostgreSQL 15, RabbitMQ 4.1 and Redis 7.4, all pinned by digest, following the official all-in-one profile. A one-shot setup step runs before the web service starts. Four volumes hold documents, the database, queued work and task state. Optional Elasticsearch, extra workers and mirror mounts are excluded.

Can I run Mayan EDMS with Docker?

Yes, and this template is Mayan EDMS Docker hosting without the assembly. It starts the mayanedms/mayanedms s4.12 image beside PostgreSQL, RabbitMQ and Redis, all pinned by digest, runs a one-shot setup first, proxies port 8000 behind HTTPS and mounts four volumes.

How much RAM does Mayan EDMS need?

Four services share the server, so the manifest asks for 4 GB of RAM, two cores and 20 GB of disk. We sell the 16 GB Cloud VPS for a Mayan EDMS cloud install, with headroom for document processing and a growing archive.

What is the Mayan EDMS admin login?

The username is admin, and the password is the generated one in the installation credentials. Sign in, then change the password straight away, because Mayan keeps showing an automatic-credentials banner until you do. Initial database setup can take several minutes.

What is the Mayan EDMS upload size limit?

Mayan itself sets no ceiling, but the proxy in front caps requests at 100 MB, so a larger document is rejected with a 413 before Mayan sees it. Keep uploads under that limit, or raise the proxy limit on your server.

Does Mayan EDMS include Elasticsearch?

No. Optional Elasticsearch, Traefik, extra workers, mirror mounts and backup jobs are excluded from the template, which follows the official basic all-in-one profile. Search works with what that profile includes. Test a search on a sample upload after install.

Does Mayan EDMS support OCR?

This page makes no OCR claim, because neither the template nor the sources it uses document it. Check the Mayan documentation for your version before you plan scanning workflows, and test with a sample PDF after installing.

How do I back up Mayan EDMS?

Back up all four volumes as one application-consistent set: mayan_app for documents and caches, mayan_postgres for relational data, mayan_rabbitmq for queued work and mayan_redis for task state. Pause uploads and processing first, keep an off-server copy, and test a restore.

How do I update Mayan EDMS?

Your install stays on its pinned s4.12 image until you adopt a newer template version. Read the Mayan release notes, take a complete coordinated backup, and test the application and database upgrade path. A PostgreSQL major-version change needs a supported database migration.

Can I cancel anytime?

Yes. There is no lock-in — cancel any time. Hosting is billed monthly and charged for what you actually use, so when you delete the server the unused balance is refunded to your account, less up to 10% in payment-processing fees.
