What is Koillection?

Self-hosted Koillection is a collection manager created to keep track of physical collections of any kind, such as books, DVDs, stamps and games. Upstream says it suits any kind of collection and ships no pre-built metadata download: you can write your own HTML scraper or add metadata freely. The template describes it as a visual inventory for collections, items, images, tags and loans. It is MIT licensed.

On xCloud the template runs koillection 1.8.4 beside postgres 16, both pinned by digest. Two volumes hold uploaded images and the database. The install form asks for nothing: xCloud generates the application and JWT secrets and unique database credentials, and PostgreSQL has no published port. Is Koillection free and open source?

Yes. Koillection is MIT licensed with a public source, so the app costs nothing to run. xCloud charges for the dedicated Cloud VPS that holds it. There is no paid Koillection edition in the template, and your collection data stays on your own server.

Can I run Koillection with Docker?

Yes, and this template is Koillection Docker hosting without the assembly. It starts the koillection 1.8.4 image beside postgres 16 on a private network, both pinned by digest, proxies port 80 behind HTTPS, and mounts volumes for uploads and the database.

How much RAM does Koillection need?

With PostgreSQL alongside, the manifest asks for 1 GB of RAM, one core and 10 GB of disk. We pair it with the 6 GB Cloud VPS for a Koillection cloud install. Uploaded images drive disk use, so size it by how many photos you keep.

Who can register on my Koillection?

The template says to register the first account after install, and it does not document closing registration. Whoever opens the site first can register, so create your account straight away. Check the upstream wiki for registration settings before you share the address.

Can Koillection fetch metadata for my items?

Not out of the box. Upstream says it ships no pre-built metadata download, so you add metadata yourself or tailor your own HTML scraper. The upstream wiki has a scraping page that explains how, so read it before planning an import.

Can I track loans in Koillection?

Yes. The template describes Koillection as a visual inventory for collections, items, images, tags and loans. Record a loan against an item in the app. The loan history lives in the PostgreSQL volume, so include it in your backups.

Where does Koillection store images?

Uploaded collection and item images live on the koillection_uploads volume, mounted at /uploads. Users, collections, items, tags and loans live in the koillection_db volume. Neither is published outside the server, and PostgreSQL has no host port.

How do I back up Koillection?

Back up both volumes together: koillection_uploads for images and koillection_db for PostgreSQL data, users, collections, items, tags and loans. Keep APP_SECRET and JWT_PASSPHRASE with the backup, because changing them breaks the install. Test a restore on a spare server first.

How do I update Koillection?

Your install stays on its pinned 1.8.4 version, with PostgreSQL pinned too, until you adopt a newer template version. Back up both volumes and the two secrets first, then read the upstream release and migration notes. Afterwards sign in and open an existing collection.

Can I cancel anytime?

Yes. There is no lock-in — cancel any time. Hosting is billed monthly and charged for what you actually use, so when you delete the server the unused balance is refunded to your account, less up to 10% in payment-processing fees.
